Terms & Conditions of Hire
IMPORTANT WEATHER INFORMATION
We do not cancel bookings due to rain or wet weather. We completely understand that most parties are planned months in advance and the weather in the UK is unknown until the actual day arrives, even the forecasters can be wrong! Thus said we do have certain rules that are set by the HSE and these are LAW and need to be understood and adhered to. Wet weather is fine unless thunder storms or torrential rain is forecast. We would NOT ALLOW castles to be used if HEAVY RAINFALL is forecast and/or ELECTRICAL STORMS. We would also not allow castles to be used if the wind speeds, including gusts are EXCEEDING 24MPH. This is a HSE requirement and would be unsafe for us to allow bookings to go ahead, outdoors, in such weather.
We do not leave customers in the dark and if this may be the case we speak with our clients regularly in the week leading up to their booking, we can offer alternatives and will always strive to supply something, subject to availability at the time.
We use a number of different weather apps such as The Met Office, XC Weather and Accuweather. We find that the standard Apple/Android weather information is usually not very accurate.
Do not let this put you off making a booking, in the 8+ years that we have been operating this happens less than you may think.
Deposits
We at Epic Inflatables and Soft Play hire require a £30 deposit for every booking that is made with us, this isn’t £30 per item it is £30 per booking. This is to secure the item for your event. The deposit is due within 48 hours of booking with us and if we do not receive this deposit, unless discussed, within the 48 hours we have the right to cancel the booking and make the items available for others to book. We will make every effort to contact you before doing so on the details that you have provided.
The deposit is deducted from your final balance and is non-refundable, although it cannot be refunded it can be transferred to a different date within 6 months of the original date should you need to amend your booking.
If your booking with us is due to be outdoors and weather conditions create health and safety issues we reserve the right to cancel your booking. Safety comes first with us and we know that this will cause disappointment but we would hate to see someone get injured due to negligence. If we do need to cancel your booking then the deposit can be transferred to another date within 12 months of the original hire date.
Payment Options
The balance of your payment is due on or before delivery. Payment can be taken on the day by cash or card and before the date payments can be taken over the phone. Please ensure that you have the ability to pay on delivery, we reserve the right to delay the set up should payment not be available.
Payment instalments can be made in order to make your party more affordable but the full balance must be paid prior to or on the delivery date.
Cancellation Policy
We understand that sometimes you have to cancel a party or event. This may be due to illness or a change in circumstances. We ask for as much notice as possible should you wish to cancel so that we can make the items available for others to hire. Although we are unable to refund your deposit we are able to transfer your deposit to another date within 6 months of the original hire date, If you have paid in full and cancel with more than 5 (6+) working days (Mon-Fri) notice your balance paid will be retained and can be transferred to another date within 6 months. If you cancel with 5 or less working days (Mon-Fri) notice the full amount will be retained and not used for a future booking.
if you change your booking with less than 7 (7 or less) days notice we will accommodate this as much as possible although the value of the original booking will be due. With more than 7 (8 or more) days notice, subject to availability, your booking can be amended free of charge.
Please note we do not accept Facebook messages nor WhatsApp messages as cancellation they must be an email or verbal conversation.
If the customer wishes to cancel due to bad weather then again we ask that we can have as much notice as possible, we understand that this may be on the day at the last minute but we do incur costs and time when it comes to loading and delivering. Please contact us on 07415897246 asap. We also reserve the right to cancel due to high winds or heavy rain as not only would it be unsafe not to, it would also be illegal.
Important note regarding cancellations
It is the hirer’s responsibility to check the sizes and measurements of the required space for the items they hire. We do not accept cancellations due to the item/s not fitting unless previous discussed and it is also the hirer’s responsibility to check that the venue allow the equipment that they have booked. If you have already paid in full then the full amount will be retained as per the cancellation terms and timescales above. In the case of communal areas that service more than one residence then please contact us before booking as you may require the land owners permission.
If incorrect information is supplied and your booking is cancelled prior to the booking date then 50% of the booking value is to be retained and 50% refunded to the customer. If payment is still due an invoice will be sent for 50% off the booking value as items would have been reserved for you and un-bookable for other customers.
If we arrive to set up and we are refused entry, we don't have the required permission's or we deem it unsafe to erect the products then we will require 100% of the final balance (minus the deposit) to cover the costs we have incurred. If payment is not made on the day then an invoice will be sent and payment will be expected within 7 days.

We have supplied for parties in most of the halls in the areas we cover, if you need advice then please call. We can also arrange a site visit if you are unsure, please call us if you would like to arrange this.
Safety is our number one priority and at all times we reserve the right to refuse erection should we deem it unsafe. We are trained in the safe use of inflatables, health and safety legislation and also risk management. Our decision is final.
Safety with Epic
It is the responsibility of the hirer to make sure all possible steps are taken to ensure the safe use of the products we supply. All of our products are of commercial grade and are cared for as they are our business. It is also the responsibility of the hirer and any other responsible adult to ensure that the users of the equipment do so in a safe and sensible manner in order to avoid unnecessary injury. All of our inflatables have maximum user height limits and also maximum numbers. If you are unsure then please contact us on 07415897246. There is to be no climbing on the walls or otherwise on areas of this inflatable that are clearly not bouncing or sliding areas, doing so can be extremely dangerous.
There should always be a person over the age of 18 in attendance when an inflatable is in use, Make sure that the castle is never overcrowded, try and limit the numbers according to the age and size of people using it. Try to avoid small and large children using the castle at the same time as this may result in injury.
At no point are food and drink allowed on the equipment, shoes should always be removed by all users and any loose items such as glasses and jewellery should be removed prior to use, this will avoid any unnecessary damage to our equipment but also any injury to the person or others.
At no point are PARTY POPPERS or SILLY STRING allowed on our castles, these cause permanent stains and will be subject to a repair charge to replace the damaged section.
We allow face paints from our own face painter's as we know the products that they use are washable and do not stain our castles. If you wish to know the products then please contact us on 07415897246.
No smoking or cooking equipment on or near the castle. Prevent horseplay. Please ensure that children are not pushing, fighting, colliding and fighting. Also please ensure that there is no behaviour that may cause alarm or distress to others.
Somersaults are strictly forbidden as they are extremely dangerous and cause serious injury on this type of equipment.
The front safety step is not to for bouncing on, it is merely there to aid entry and exit to the castle.
If at any point of the day the castle is not in use then please turn the blower off. The castle will deflate. Once turned back on the castle will re-inflate and be ready for use in a matter of seconds.
Do not allow any one on the castle during inflation or deflation as this can be dangerous.
Please do not allow pets, toys or sharp implements anywhere near the castle.
Please make sure that pockets are emptied prior to use as keys and such items can cause a nasty injury or damage to the castle.
Please allow at least 1 meter at the rear of the castle for the blower and allow a gap around the castle to be clear.
The bouncy Castle should not be used if the bouncing bed becomes wet as it becomes slippery and dangerous. If there is no rain cover fitted and it begins to rain the castle should not be used and the tarpaulin should be placed over the deflated castle to ensure that when the rain stops the castle is dry and ready for use. If the bed of the castle does become wet and there are bubbles on the seams then this can easily be dried with a towel. The castle should not be used until completely dry.
In the unlikely event of the blower failing and the castle deflating please ensure that everyone is off the castle. Check the inflation funnel has not come loose. Also check the fuse on the blower. If the blower has over heated then switch it off at the mains for around 5 minutes and try again. If none of this works then contact us immediately.
If using the petrol blower or generator you will be shown on delivery how this works. You will be left with extra petrol to ensure continuous use. Please do not keep this near the blower or in the reach of children.
Please do not allow children to operate or near the blower.
Any injuries sustained whilst using our equipment must be reported to the driver on collection, where an accident form will be completed. Accident forms will not be completed after the driver has collected the equipment and left the premises.
In summary -
Epic Inflatables and soft play hire reserve the right to charge for any damage sustained whilst on hire and the hirer is liable to pay. We also reserve the right to charge for a cleaning fee should the castle be collected dirty. All of our equipment is cleaned prior to hire and also on delivery to ensure the standard that you deserve.
We will not be held responsible for any injury sustained on any of our products and if there are any injuries this should be reported to us immediately on 07415897246.
We reserve the right to cancel your booking should we deem it unsafe to supply to the designated location, If there has been any information withheld from the booking such as access issues or suitable/safe ground and also if we feel that there would be a health and safety issue arise from the hire.
Our terms and conditions are not only to protect us as a company and our products but also you as a customer, your children’s safety and also your property. We have not encountered any issues thus far due to our great customer service and organisation along with health and safety awareness and we don’t want to start now!
Documents
Some venues require a copy of our liability insurance to enable the use of castles or soft play within their halls. Our certificate can be printed or even downloaded and emailed to the venue to make life as easy as possible.
